How to send a message using a message template?

Use your saved templates to save time and scale personalized outreach across Kanbox.

📬 From the Inbox (bulk messaging)

  1. Go to your Inbox.

  2. Select one or more members using the checkboxes.

  3. A top action bar appears — click Message.

A message window will open.


Click “Use a message template” and choose the template you want to insert. The message will be added to the input field.

✏️ You can edit the content before sending.

👉 If the template includes sensitive variables ({{job title}}, {{company}}, etc.), Kanbox will automatically fall back to the alternative message for recipients missing data.


💬 From a conversation (chat)

  1. Click a member from the Inbox to open their chat window.

  2. Use the Message template dropdown above the input field to insert a template.

As always, the message is editable before sending.


📦 📦 From a Pipeline column

  1. Open the action menu on any Pipeline column.

  2. Click Send message.

  3. In the message window, click “Use a message template”.

✅ You can use message templates anywhere Kanbox lets you manually send a message — Inbox, chat, Pipelines.


⚙️ From an automated campaign

When building a campaign sequence and adding a “Send message” step:

  • You can either write a custom message,

  • or insert an existing message template.

Your template can contain variables ({{firstname}}, {{job title}}, etc.).
If it uses any sensitive variables (other than {{firstname}} and {{lastname}}), a fallback message block will automatically appear in the editor.

This fallback version ensures a clean message is always sent, even if profile data is incomplete.

💡 Message templates in campaigns follow the same rules as manual ones — full personalization, automatic fallback, and consistent delivery.
